About the Opportunity

The role sits within our Support Team which reports directly to the Contractor Support Manager.

The key purpose of the role is to provide reception and administrative support for the business and the Support Team. Therefore, it is best suited someone with administration experience who enjoys working as part of a team and can demonstrate an organised and flexible approach.

1. Key Accountabilities:

Office Support
-To provide secondary support to the Office Administrator for reception and other office duties. This will include , but is not limited to:
-Answer and direct main line phone calls
-Greet visitors, showing them to appropriate meeting room and offering a refreshment
-Distribute incoming mail/packages and send outgoing post
-Check and action team mailboxes
-Ensure office is neat, well maintained and equipped
-Verifying contract end dates regarding incoming references

Pre-Employment Screening Compliance
-Assist vetting team in their required PES checks and all contractor related actions to ensure client vetting is complete to the required standards and contractor starts on agreed date as required by each client.

Understand all vetting requirements for each client
-Ensure up to date PES checklists and processes are followed for all new starts
-Communicate on progress of assigned work and checks being carried out

Paperwork preparation
-Prepare appropriate contract for the contractor to sign and return prior to work commencing
-Prepare any client required paperwork for contractor
-Liaise with umbrella companies (when applicable); due diligence document, AWR information gathering, etc.

Contract extensions and early terminations
-Assist in the preparation, sending, and receiving extension paperwork for contractors
-Assist in the preparation, sending, and receiving of client paperwork for contractors extensions
-Assist in the preparation and sending of early termination letters to contractors

Contractor Care
-Ensure systems are updated to latest requirements
-Run & collate data for PI/visas
-Archive contractor files

External representative
-Be professional and an ambassador of Head Resourcing at all times, whether in person or on the phone.
-Attend external contractor events as required.
